Mission
F&L Candriam is part of the COO Office and manages 11 offices around the world with employees in Belgium, France and Luxembourg. The candidate will join the Belgian Facilities and Logistics department (F&L) and will as a team member execute, monitor and manage various F&L tasks and responsibilities.
The candidate will be fully integrated in the F&L structure (transversal with local teams) and will report to the Head of Facilities and Logistics.
Responsibilities
You will monitor, manage and execute various F&L tasks and responsibilities with 1 target outcome: increase efficiency within F&L and within Candriam.
Building Management
• Be the link between Building Mgt Company and Candriam, act as a SPOC on all housing items such as internal and external stakeholder management, reparations, new demands, etc.
• Internal organization of desks, guide and monitor internal mobility, etc.
• Management desk allocation (visitors or internal)
• Parking space management
Security
• Management of the access badge system, Health and safety follow up (fire wardens, first aiders...)
• Onboarding: Monitoring IN/OUT/MOVE and assist new recruits to find their way within the company
Project Management
• Manage and assist in various projects around Facilities
• Topdesk ticketing system “Fixit” : take up the responsibilities to monitor the demands and needs to evolve
Follow up of F&L external stakeholders
• Telecom device management, Office Mobile & Telecom Services: Activation, Follow up, Replacements, Issue handling
• Monitor Travel policy management (Egencia) and internal parking
• Monitor and Manage the cleaning company and office plant company
• Manage Office Supplies, Newspapers etc..
• Follow up Office Printing Services: Toners substitution…
• Monitor internal catering services
• Manage the external partner for mail distribution
Archive Management
Profile
• Master’s degree in Facilities & Logistics or similar by experience
• Good written, verbal communication skills in French and English (Dutch would be a valuable plus)
• Efficiency and effectiveness are key
• Motivation and the will to go the extra mile
• Ability to communicate at all levels of the company
• Take Initiative as a Team Player
• Solution management is an important asset
